HOW TO CHECK UNIT OF MEASURE IN TALLY

After you create the ‘Unit of Measure’ in Tally Course in Jaipur program, you must check the details filled up by you. You can check the details of ‘Unit of Measure’ as under:-
  • Open – Tally
  • Select ‘Inventory Info’ under ‘Gateway of Tally’
  • Select ‘Unit of Measure’ under ‘Inventory Info’
  • Select ‘Display’. Now you shall find your screen as under:-



  • Press ‘Enter’ key on display
  • Now you will see the units you have created. Select one by one and check whether every thing is right or there is any mistake. For example you want to see ‘Liters’. Select liters and press enter. Your screen shall be as under:-

No alteration can be done under display.

CREATION OF COMPANY IN TALLY

Accounting package Tally is a wonderful boon to all accounts personnel and the business firms. It is very user friendly package. It is available in 7.2 version, 9.0 version and ERP.9 version. Tally ERP.9 version is the latest version and is used maximum.

If using tally program, first time, first of all, we have to create a company in tally program. To create the company in tally, we have to follow the following procedures:-
  1. Please make sure that tally program is original one and is installed by authorized person by tally people.
  2. When it is installed then double click on Tally ERP.9 icon.
  3. Now, you shall see the screen as follows:-
Select “create company”
After selection of “create company” the following screen will appear:-
Now, to create new company you have to fill up all the details as required by tally program as under:-
NAME Write the name of company for whom the accounts are to be maintained. for example company’s name is M/S XYZ  LIMITED, we shall write M/S XYZ LIMITED
MAILING ADDRESS Name of company shall appear automatically. If you want to mention other name you can. In above example we are not changing the name. You have to write the address also.
STATUTORY COMPLIANCE FOR INDIA (It can not be changed)
STATE When we fill up this detail then a list of all Indian States will appear. Select any one. For this example we have selected xyz being the state of the company.
TELEPHONE NUMBER Give the telephone number of the company. Say – 11111111
CURRENCY SYMBOL Already given as (Rs.). We need not to change the same.
MAINTAIN There are three options given. 1. Accounts only. 2. Accounts with inventory. .If you want to do accounts only then select accounts only and if you want to maintain stock, raising the bills, then select option “Accounts with Inventory” and if you want to maintain inventory only then select Inventory only. In this example we are selecting “Accounts Only”.
FINANCIAL YEAR FROM Suppose, we want to maintain the accounts for the financial year 2011-12 then we shall write “01.04.2011”
BOOKS BEGINNING FROM Here also, we will mention “01.04.2011”. In case, you are starting your accounts from 01.10.2011 then you can write as 01.10.2011. But, in this case you can not make any entry before 01.10.2011 for financial year 2011-12.
DISALLOWING OPENING IN EDUCATIONAL MODE You should write “Yes” because you want to maintain the accounts not for study purpose. But, we have selected “No” because we are just learning.
TALLY VAULT PASSWORD, (IF ANY) Leave it blank. If you give any password under tally vault, you can not see your company in list of companies whenever you open the tally. It is advisable not to give any password under this column.
USE SECURITY CONTROL In this column say “Yes”. Because you must have some password for your company so that the person who knows the password, he only can open the company.
NAME OF ADMINISTRATOR Write any thing but remember, if you have written any thing in capital letters, then at the time of opening company you have to write you administration name in capital letter only otherwise you would not be able to open the tally. Here we are writing XYZ as administrator’s name in capital letters.
PASSWORD You have to follow the procedure as given in administrator’s name. Here also, we are writing XYZ as password in capital letters.
REPEAT PASSWORD You should again write your password as written in Password Column. So write – XYZ in capital letters. You can not see what you have written. It is just to test you whether you can remember your password or no. So, be very careful regarding your password. If you forget your password then you have not option to open your company. In that case you have to contact to Tally people only.
USE TALLY AUDIT FEATURES Write “No”. Basically this feature is required by auditors or senior persons. So for the time being for learners, it is advisable to select ‘No” against this column.
After filling all the columns your screen will appear as below:
Finally it asks, Yes or No. If you select “Yes,” then the company shall be created as per the details given by you. It is advisable that before selection of “Yes”, once again, you must go through all the details given by you in the form. Suppose, instantly, you want to change any thing, and then select “No”. You can change any thing now. Finally, you have to select “Yes”.

After you select “Yes”, your company is created. It will take few seconds to create the company. So, wait and watch.

Basic Accounting

ACCOUNTING INTRODUCTION
Accounting came into practice as a help to human memory by maintaining a systematic record of business transaction. Accounting rightly termed as the language of business.
 
Definition
In simple term, “accounting is the art of recording, classifying, summarizing, analyzing and interpreting the financial transactions and communicating the result there off to the persons interested interested in such information”.
 
According to American Institute of Certified public Accounts(AICPA), “Accounting is the art of recording, classifying and summarizing in significant manner in terms of money, transactions and events which are in part at least of financial character and interpreting the result there off”.
 
Objectives
The basic objective of accounting is to provide information to the interested users to enable them to make business decisions. Following are the important objectives of accounting.
  1. To maintain records of business.
  2. Calculation of profit or loss
  3. Depiction of financial position
  4. To provide information to the users
BASIC TERMS
  1. ASSEST  :- Assts are things or properties used and owned by the business. Assets are mainly classified into two.
    1. Fixed Assets :- These are used for long term purpose. Eg:- Furniture, Machinery, etc.
    2. Current Assets:- These are used for a short period. Eg:- Cash, Stock, etc.

  1. Liability :- Liabilities are the obligations and debts of the business towards the outsiders. It is also divided into two.
    1. Long term or Fixed liabilities) :-Liabilities that are repayable after a long period are termed as long term liabilities. Eg:- Long term loan. Debenture.
    2. Short term or current liabilities) :- These are the obligations that are repayable with in a short period. Eg:- Bills payable, Bank overdraft

Sales Data Analysis in Tally

The analysis of Sales figures is important for any business for a number of benefits:

1. It helps to identify the trends.
2. It pinpoints the most revenue generating products.
3. It highlights the top customers and their purchasing trends.
4. It helps the business in preparing for seasonal variations.

By customizing Tally, it is possible to generate a product-customer sales matrix report which can be exported to Excel for further analysis.

We recently developed a Sales Matrix report for one of our dealers in Nigeria. The report can be further customized as per the specific needs of individual business. We believe this report will be a valuable input for any MIS decision making.

A few interesting enquiries came in the last week:

1. Removing all inventory details from a Tally company and converting it into an accounts-only company.

2. Removing all vouchers (accounts as well as inventory) from a Tally company and just maintaining a single day's account in Tally. The solution requires to maintain stock items in Tally and updating their stock on a daily basis. That is, there should be a tool that will read the Closing Stock for every stock item for the day, delete all the transactions data from Tally and make the Closing Balance as the Opening Balance for the next day.

Both the above requirements are possible by developing add-on tools for Tally. Let us see if these enquiries convert into orders for me :) !!

Core Features of Tally

I’ve discussed some of the very core features or you can say some of the important functionality of Tally. The features are listed without giving any specific rank to them.
I am sure you will like the detailed listing of some of the amazing features of Tally.
This is like an introductory guide for a first time reader if he or she has not heard of Tally before.

Accounting

Of course, accounting is the main function of Tally and that is what it is known for. The first word that comes in the mind of a person when hearing about Tally is accounting.
Accounting is a basic function of Tally and most people do not ever use any other functions other than accounting in Tally. At the most they will use Inventory management and some of the Taxation features.

Because many people do not exactly know how to use those features.
If we particularly talk about accounting, Tally has segmented it in 6 different functions. They are:
  1. Contra (Only for cash and bank related entries)
  2. Payment (For payment entries)
  3. Receipt (For receipt entries)
  4. Journal (For entries which doesn’t include cash or bank and for closing entries)
  5. Sales (For sales billing)
  6. Purchases (For purchase billing)
There are many more functions related to accounting like Credit Note, Debit Note, Reverse Journal, Memos and so on which aid in performing accounting procedures in an easy manner.
Let’s go to billing!

Billing

Billing is an inevitable part of any business and it’s care is duly taken by Tally. Actually billing is included in Accounting feature discussed above but it has somewhat a separate function rather than accounting.
The best thing in Tally is that when you create a billing entry you do not have to create again accounting entry for that bill. This reduces redundancy in entering a big amount of data.
So if you are having a shop and you do billing from Tally, you or your accountant do not have to again perform accounting for the same bills as it already done by you.

In Tally, Sales and Purchase vouchers are actually for billing but they can also be used as a simple voucher. Everything in a bill you can imagine is there in Tally for the purpose of billing.

What is Tally – A Detailed Overview

Tally is popularly known as an accounting software for small and medium businesses. It does all the functions of accounting that a particularly mid sized business has. This is the view of most of the persons who know about Tally.
